The City of Yatesville is considering different ways to preserve its records. The Yatesville City Council has been researching the issue for the past several months.

At their July meeting, the council heard from Mayor Cecil Moncrief about the cost of safe deposit boxes at the bank where the city has its accounts. Moncrief said the bank has three different sizes of boxes. A 3” by 10” box is $39 a year. A 5” x 10” box is $44 a year, and a 10” x 10” box is $66 a year. He added that the fee would be electronically withdrawn from the city’s account each year.

Council member Phyl Gatlin stated that Thomaston-Upson Archivist Penny Cliff had also offered the Archives as a place to store the city’s records.

“Penny Cliff got in touch with me and said that the Archives could house our old records and maintain it in a way that would preserve it, and of course, we would have access to it anytime we wanted,” said Gatlin. “If, once we copied it, we wanted it in a place that would be really safe. I told her we would talk about it and figure out exactly what we had that we needed to save.”

Mayor Moncrief noted that the city has some deeds and other records in its files that it really needs to put somewhere else.

“We’ve got a lot of paperwork. I’d like to get a 10 x 10 because we can put a lot of stuff in there,” said Moncrief. “ You put the titles and the deeds in and I think anything smaller would be pushing it. But I do want to make copies before we do that.”

The council will continueto the study the issue as copies are made of the city records.

In other business, City Clerk Connie Vaughn advised the council that signatures are needed on the city’s Certificates of Deposit (CD’s).

“We’re working on our audit, and we needed to find out about our CD’s,” said Vaughn. “When I went to the bank to ask about it, they said there are no signatures on our CD’s.”

Moncrief said they need at least three people to sign for the CD’s, so if needed, someone is available to get to the CD’s and draw down the funds.

It was decided that Mayor Moncrief, Mayor Pro Tem and Fire Chief Ronnie Riggins, and Council member Robert Releford will sign for the CD’s.
